Three Strategies to Reduce Paper Usage

Use Private Printing
Most multifunction systems and some printers have a private printing feature. This feature holds print jobs at network printers until the user walks up and enters a personal identification number. The job is then quickly printed. This eliminates "abandoned" print jobs, cutting waste. If nobody claims the job, it can be deleted from the print queue after a certain amount of time.

Scan-to-email features on new multifunction systems allow you to send scanned documents as PDF email attachments. This is an environmentally-friendly alternative to faxing since the document is not automatically printed at the receiving end.

Tips & Tricks

How to Reduce Scan File Sizes
 
New scanning features on multifunction systems have many people scanning. However, scanning at high resolutions can take up a lot of disk space and lead to large email attachments. Reducing scan file sizes is simple:
  • Choose Black & White
  • Color scans create files that are more than 2X larger than black & white scans.
  • Choose a Lower Resolution
If you are scanning regular business information, choose 300 dpi (dots per inch). The file will be 1/4 the size of a 600 dpi scan.
