Often referred to as the “Crossroads of Opportunity” for families and businesses, the city of Reading is located in the heart of Greater Cincinnati near two major interstates. Reading has a strong business environment and a thriving retail district, including a nationally recognized marketplace for wedding apparel and services.

Over the course of thirty years, the City of Reading’s human resources department had accumulated a large number of personnel files; files to which frequent access was needed. To retrieve the hardcopy files, employees were required to venture across the street to the attic of an old house and sift through countless boxes of documents. Not only was this method of retrieval time consuming, it also was hazardous to employee safety and the long-term existence of the files. Files could easily be lost, misfiled or destroyed by fire, water or some other natural disaster. Personnel data also was at risk of being accessed by unauthorized persons. The department desperately needed an electronic means of organizing, storing, securing and backing up its information.

SOLUTION:

|
 MOM installed DocuClass Enterprise, an electronic document management system, as well as a high-speed Lanier document scanner to image the paper documents. Once a document is scanned, DocuClass immediately routes it to the proper location in the database for storage. The staff now can view requested documents in a matter of seconds, greatly increasing employee productivity. In addition, all files are digitally backed up in the event of a disaster. Like many organizations today, the City of Reading recognizes the importance of electronically managing files to ensure the long-term well being of its key documents. The city knows it can depend on MOM for superior service and the latest technology.
