Scanning plays an important role in bridging the paper and digital worlds. More and more organizations are seeing benefits from digitizing paper documents.

Our multifunction systems make the process of scanning simple and efficient. It’s really as easy as making a copy. Here are some of the technologies and how you can use them:

Scan to Email
Rather than send a fax, you can scan paper documents directly to anyone’s desktop as an email attachment. This is great for both internal and external communication. Scan to email is more secure and private than sending a fax to the output tray of a fax machine. In addition, LDAP support allows users to access your corporate address books.

Scan to File
Documents can be scanned to virtually any network folder, and they can also be scanned to a user’s desktop. Files can also be transmitted over the web using common FTP (File Transfer Protocol) technology, giving branch offices the capability to scan documents directly to a corporate server.

Optical Character Recognition
Documents can be scanned directly to applications like Microsoft Word where they can be edited. This saves the time and hassle of retyping documents.

Scan to a Document Management System
Users can scan documents directly to a Document Management System for storage and retrieval. In some configurations, end users can even name the file and enter index fields to allow the document to be searched and retrieved.

Common File Formats
Scans can be delivered in a number of common file formats:

PDF (Portable Document Format)
These documents can be opened on any computer with free Adobe Acrobat Reader software. PDF’s are the standard for Internet downloads and email attachments.

TIFF (Tagged Image File Format)
TIFF files are also readable on any computer. Many Electronic Document Management systems use TIFF images.

JPEG
This format is the common format for photographs and other graphic images.

Centralized or Distributed Scanning
Many clients want to know if they should use a centralized or decentralized scanning model. Typically, large-scale document conversion jobs are best done with a centralized scanning model. Day-to-day business activities are best facilitated with a decentralized model using multifunction systems and fax machines. MOM provides both high-volume scanners and scan-enabled multifunction systems. We can help you determine which type of scanning model is best for you.

Distributed Scanning
Documents are sent to a central location for scanning using a dedicated high-speed scanner.

Centralized Scanning

Documents are sent to a central location for scanning using a dedicated high-speed scanner.
