Businesses in every field are inundated with documents and records, but for healthcare providers the challenge of managing this data is magnified due to HIPAA regulations. Providers must take measures to protect the privacy, security, and integrity of protected health information in order to remain compliant with these strict regulations.

MOM understands the unique challenges healthcare providers face and is equipped to provide technology to keep your hospital or doctor’s office both efficient and compliant. MOM realizes that back-end processes are crucial to your industry and using technology can shorten the days outstanding on receivables and facilitate cash flow. MOM will work with you to assess your current processes, bottlenecks, and goals, then integrate the systems and software that are most appropriate and practical for your environment.

The MOM team takes data privacy and security very seriously. We share a commitment with our clients to protect the data they entrust to us, and help them remain HIPAA compliant. MOM goes to great lengths to make this possible, including:

  • Training – All MOM employees undergo HIPAA privacy, security, and breach notification training during their on-boarding process. We also conduct yearly security reminder sessions, and provide updates on current security issues as needed.

  • Use of Disclosure of Protected Health Information (PHI) – MOM will use or access only the PHI necessary to provide the services we are contracted, and only to the extent we are permitted or required by law. In the event PHI must be disclosed to any subcontractors or agents, MOM will ensure they have implemented the appropriate safeguards and obtain an agreement ensuring they agree to abide by the same restrictions and conditions that apply to us.

  • Safeguards – We use appropriate safeguards to prevent the use or disclosure of (e)PHI other than as provided for in the business associate (BA) agreement, as well as administrative, physical, and technical safeguards that protect the confidentiality, integrity, and availability of (e)PHI that we create, receive, maintain, or transmit on behalf of a covered entity.

  • Breach notification – In the event of a possible PHI breach, we will notify you in a timely manner, and where possible provide a list of compromised patients. We will investigate the breach and mitigate to the extent practicable any harmful impact of this breach.

  • Access and amendment to PHI – We will honor your requests to abide when individuals exercise their rights of access, amendment, and accounting in accordance with HIPAA regulation. Upon request, we will make our internal practices, books, and records relating to the use and disclosure of PHI received from or created or received by us on behalf of you available to the U.S. Department of Health and Human Services for the purpose of determining compliance with the terms of the BA Agreement and appropriate HIPAA regulations.

Managed Print Services for Healthcare

It’s estimated that for healthcare providers, paperwork results in an extra hour of work for every hour of patient care in this document-intensive workplace. This inordinate amount of paperwork takes time away from their most important role: spending time with patients. Combine that with the restrictive government regulations healthcare providers must comply with and the amount of money that goes into the printing and maintaining of all the paper documents generated in these environments, and you’ve got a potential epidemic of inefficiency, bottlenecks, and cost overruns.

Managed Print Services (MPS) allows healthcare providers to take a smarter approach to printing by optimizing their print environment. MOM’s MPS solution benefits providers by:

  • Maximizing uptime through proactive device management

  • Streamlining document processes by converting paper-based documents to electronic versions and automating business tasks

  • Simplifying billing by working with a single provider for all of your printing needs

  • Lowering costs by consolidating your print fleet, eliminating redundant or unnecessary devices

  • Facilitating regulatory compliance through increased document and information security

  • Removing the burden of resolving printer issues from your staff, freeing them up to spend time with patients
